Service policies
Clear rules for irreplaceable things.
These policies explain what TOAD accepts, how orders are priced, and what happens to physical and digital media.

Accepted media
TOAD currently accepts printed photographs no larger than 5 × 8 inches, standard VHS tapes, and VHS-C tapes.
TOAD does not currently accept Betamax, Video8, Hi8, Digital8, MiniDV, film reels, slides, negatives, audio formats, optical discs, or commercial duplication orders.

Pricing and payment
Printed photographs cost $5 per started batch of 100. An order containing 1 through 100 photographs costs $5; 101 through 200 photographs costs $10.
VHS and VHS-C conversion costs $5 per started recorded hour, with a $5 minimum for each tape. Checkout charges the first hour of each submitted tape. If a tape contains more than one recorded hour, each additional started hour costs $5 and must be paid before delivery.
A new USB drive with standard shipment costs $25. Return postage for original media is not included in that price.
Checkout prices are based on the quantities you provide. If the received quantities differ, TOAD will contact you to collect or refund the difference before work is delivered.

Shipping and local handoff
You are responsible for securely packaging the source media, paying inbound shipping, and choosing any desired tracking or carrier insurance. TOAD is not responsible for loss or damage before a shipment is delivered to us.
Do not ship an order until TOAD sends the shipping instructions. The work location is not open for unscheduled visits.
Central Ohio drop-off and pickup are available only by confirmed appointment.

Prohibited content
Do not submit media containing nude or sexually suggestive depictions of anyone under 18. This prohibition includes ordinary family bath-time photographs or videos, regardless of the customer's intent or the material's sentimental value.
Do not submit media that is illegal to possess, reproduce, or distribute, or that depicts sexual exploitation or abuse.
If prohibited content is discovered, TOAD will stop processing the affected order. Suspected illegal material may be preserved or reported to law enforcement or the appropriate reporting organization when required or appropriate. TOAD will not knowingly create, return, or distribute an illegal copy.

Condition and recoverability
Old photographs and magnetic tapes can be faded, brittle, moldy, damaged, blank, previously recorded over, or otherwise unreadable. Payment covers the careful attempt to digitize submitted media and does not guarantee that usable content can be recovered.
TOAD will use reasonable care, but aging media may fail during ordinary handling or playback. If an item appears unsafe to process, TOAD may stop and contact you before proceeding.

Digital delivery and retention
Private digital download is included with every order. Download links are time-limited bearer links, which means anyone who receives the link can access the files until it expires. Do not forward the link outside your intended recipients.
TOAD retains completed digital files for 30 days after delivery and then deletes them. You are responsible for downloading the files promptly, checking them, and maintaining your own backups.

Return, pickup, and disposal of originals
If you request return shipment, TOAD will send a separate payment request for the actual return-postage cost. Originals ship only after that payment is received.
If you choose local pickup, you must collect the originals at a confirmed appointment.
If you choose destruction and disposal, TOAD holds the originals through the 30-day digital delivery window and then destroys and discards them. Destruction is permanent.
Media left unpaid or unclaimed for 60 days after TOAD's last written notice is considered abandoned and may be destroyed and discarded. Contact TOAD before that deadline if you need to make different arrangements.

Your rights to the media
By placing an order, you confirm that you are at least 18 and that you own the submitted media or have permission to reproduce it. TOAD may refuse commercial recordings, copyrighted works, or any order when your authority to copy the material is unclear.
